Describe the peaks in the season
A recurring programme may be quiet on weekdays and busy during scheduled sessions. Explain the pattern, staff presence and expected peak use. Discuss whether equipment stays on site between activities and how that affects access, supplies and the service arrangement.
Plan for programme changes
Rain, rescheduling or added sessions may alter the original use pattern. Ask how the rental is reviewed when the timetable changes. Keep a property contact available during quiet periods and confirm the final collection request separately from the programme’s advertised closing date.
Prepare for the quiet weeks too
Explain whether the property remains staffed between busy dates. Agree who admits the provider and checks readiness before the next session. If a programme is suspended, discuss the equipment arrangement directly; an announcement cancelling an event does not by itself notify the rental contact or arrange collection.

- Provider access during quiet periods
