Look at where the queues may form
Food areas, performance breaks and activity changes can concentrate use. Describe the programme and the paths linking it, not just the total expected audience. Include staff and vendors, and explain any separated zones that may need their own practical restroom access.
Build servicing into the operating plan
For a longer programme, discuss cleaning and replenishment windows with the person managing vehicles and public movement. Facilities must remain usable during the periods agreed for the event. Review the proposal if attendance or opening hours change; moving units or adding sessions should trigger a fresh operational discussion.
Use the programme to review placement
Ask the event team where people move between sessions and which temporary installations will sit beside those routes. Review the toilet and washing positions against that finished layout. Give the provider the accepted operating timetable and explain any period when vehicle access is restricted, rather than leaving the service discussion until the event is underway.
- Audience movement between activities
- Finished layout and washing positions
- Agreed windows for provider access
